Getting started

Create your charity’s account

Choose Start free, then enter your charity’s name, your name, your email and a password. You can also sign up with Google or Microsoft.

We email you a link to confirm your address. It works once and lasts three days. Until you confirm, you can’t open your charity’s pages.

Finish the setup checklist

After you confirm, a short checklist walks you through four steps. Each one can be skipped and come back to from your Home page.

  1. Your charity’s details. Your country sets the phone number format and time zone.
  2. Invite your team. Everyone gets an email to join.
  3. Connect email and WhatsApp.
  4. Import your supporters.
Invite your team and choose their roles

Go to Members and invite people by email. They choose their own password when they accept.

Each person has a role. A role is a group of permissions, so a volunteer can see supporters without seeing gifts, and a trustee can read reports without changing anything. Change what each role can do under Roles.

Reset a forgotten password

On the log in page choose Forgot it? and enter your email. The link we send lasts one hour and works once. Setting a new password signs you out on every other device.

Inbox and messages

Connect your Gmail or Outlook inbox

Go to Integrations and choose Gmail or Outlook. Sign in with the mailbox you want to send from. Replies from supporters then arrive in your Inbox, on the right person’s record.

Connect WhatsApp Business

Go to Integrations and connect your WhatsApp Business account. Meta has to verify your business before marketing messages can go out; replies to people who message you first can start straight away.

WhatsApp messages need an approved template unless the supporter wrote to you in the last 24 hours.

Write a template with the person’s name filled in

Go to Templates and choose New template. Click a field like first name to drop it into the text. When the message goes out, each person sees their own details.

The preview shows the message filled in for a real supporter, and warns you if any field is empty for them.

What happens when someone opts out

If a supporter sends an opt-out word on WhatsApp, such as STOP or UNSUBSCRIBE, Adab marks their number as opted out and never messages it again, from any automation or person. You can change the words in Settings. Email opt-outs are kept on each record and checked before every send.

Pause all sending

In Settings, choose Pause sending. Messages wait in the queue and go when you resume. Dry run is different: messages are logged but never reach anyone, which is handy while you test.

Giving and Gift Aid

Set up a donation page with Stripe

Connect your Stripe account under Integrations, then create a form under Gifts → Online giving. Share the link or put it on your website. Gifts land on the donor’s record, and monthly gifts show under Regular giving.

Collect Gift Aid declarations

Donors can tick Gift Aid on your donation form, or you can record a declaration on their record. Adab keeps the name and address exactly as declared, so a later address change never rewrites a claim.

Make a Gift Aid claim

Go to Gift Aid. Adab lists every eligible gift and checks it against the donor’s declaration. Create a claim, then download the schedule to submit through HMRC Charities Online.

Bring past donations over

Under Gifts → Import gifts, upload a spreadsheet of past gifts. Each one is matched to the right supporter.

Automations

Build your first automation

Go to Workflows and choose New workflow. Pick what starts it, such as a tag being added, then add steps: send a message, wait, check whether they replied, add a tag, add to a list, or open a ticket.

Every step is noted on the supporter’s timeline, so you can always see what was sent and when.

Why nobody gets the same automation twice

A person can only be in a workflow once at a time, and only once ever unless you allow them back in. Each step sends at most once, even if something restarts halfway. A daily sending cap also stops a mistake from flooding anyone.

Supporters and lists

Import supporters from a spreadsheet

Go to Supporters → Import and upload a CSV. Match your columns to Adab’s fields, then choose what happens to people who are already there. Duplicates are spotted by email and phone before anything is added.

Add your own columns

Under Columns, add the fields your charity needs, like T-shirt size or trek date. They appear on every record, in filters and in templates.

Keep a Google Sheet or SharePoint list in step

Under Integrations, connect the sheet or list. Changes flow both ways, so the team can keep working in the sheet while you move over.

Account and security

See who changed a record

The Audit log records every change with who made it and when. Open it from the sidebar, or see a supporter’s own history on their record.

Switch between charities

If you belong to more than one charity, click its name at the top of the sidebar to switch.

Light or dark appearance

Adab is light by default. Under Your account you can choose dark, or match your device.
